Why your stock sync keeps breaking

A customer buys the last one at your counter. At the same moment someone checks out online with the same item. Here is the technical reason that keeps happening, and why no plugin fully fixes it.

Two databases and a courier

When you connect a standalone till to a WooCommerce site through a plugin, you are not running one system. You are running two separate databases sending updates to each other across the internet.

That is the whole mechanism, and every problem below follows from it. There is no shared truth. There are two records and a courier running between them.

The three ways it fails

The gap between syncs

When an item sells at the counter, the till does not change your website's database directly. It puts a request in a queue. Depending on your settings, your connection and server load, that queue might run every fifteen minutes, every half hour, or hourly. That window is all a double sale needs.

The bridge that quietly stops

Plugins depend on webhooks and API keys. Every WordPress core update, and every plugin update, carries a risk that the connection between your shop floor and your website breaks in the background with nothing on screen to tell you. Both systems keep selling. You find out when a customer asks where their order is, by which point the two records have drifted for days.

The things that do not translate

Variants, bundles, modifiers, weighed goods, items sold by length. Each system models these its own way and the bridge has to translate between them. Anything it cannot translate quietly does not sync, which is why discrepancies always seem to land on your most complicated products.

Hosting makes it worse. WooCommerce is resource-hungry, and on a shared plan a busy trading hour plus a burst of stock updates is enough for the server to throttle and drop the connection.

Sell the last one at the counter and the online store does not need to be told, because there is nothing to tell. It was never holding its own separate number. The window does not exist, there is no bridge to stall, and a variant is a variant in one place.
